Privacy policy

Minutivo is operated by SZB Techs (“we”, “us”). This policy explains what Minutivo collects, why, who processes it, and the choices you have. If you have a question, contact us.
What we collect
- Your Google account email address, to identify your account.
- Access to Google Drive that you grant when signing in. We store the resulting Google refresh token encrypted (AES-256-GCM).
- The folder you choose (its ID and name) and the “Meeting notes” folder we create in it.
- Details of the recordings in that folder: file ID, name, size, type, checksum, creation date and length.
- The transcript and meeting minutes we produce, which we keep so you can see your meeting history and retry a failed meeting, in addition to the Google Docs we create in your Drive.
- Browser notification registrations, if you turn notifications on.
- Technical logs (such as IP address and request details) kept by our hosting provider for security and troubleshooting.
We do not collect payment card details. Minutivo does not use advertising or tracking cookies; it uses only the cookies needed to keep you signed in.
How we use Google user data
Minutivo reads only the Google Drive folder you choose, and only to find meeting recordings in it and process them into a transcript and meeting minutes. It creates Google Docs for those results in your Drive. It never changes or deletes your files and never reads other files or folders.
Minutivo’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not sell Google user data, use it for advertising, or use it to train AI models.
Who processes your data
- Google Gemini transcribes each recording. The recording is streamed to Gemini for this and deleted from Gemini after the transcript is made. On Gemini’s free tier, Google may use submitted content to improve its products.
- The meeting minutes are written from the transcript by Google Gemini or, if we choose another provider, by OpenAI, Anthropic or DeepSeek, under that provider’s API terms.
- Cloudflare hosts Minutivo and its database.
- Browser push services (such as Google, Mozilla, Apple or Microsoft) deliver notifications if you turn them on. Notification content is encrypted end to end, so these services cannot read it.
How long we keep data
We keep your account, meeting history, transcripts and minutes while you use Minutivo. Disconnecting Google Drive deletes the stored Google access immediately and stops all processing; your meeting history is kept so it is there if you reconnect. To have your account and all its data deleted, contact us. The Google Docs in your Drive are yours and stay there unless you delete them.
Your choices and rights
- Disconnect Google Drive from your account page at any time, or remove Minutivo at myaccount.google.com/permissions.
- Turn browser notifications off at any time.
- Ask us for a copy of your data, a correction, or its deletion.
Security
All connections use HTTPS. Google access tokens and AI provider keys are stored encrypted, sessions use signed cookies, and every form is protected against cross-site requests. No system is perfectly secure; if we learn of a breach affecting your data, we will notify you as required by law.
Recording consent
Make sure everyone in a meeting has agreed to it being recorded and transcribed before you add the recording to Minutivo.
Children
Minutivo is not intended for anyone under 16.
